This section explains how AW AI Agents (“the App”), operated by ArchitWeb Sdn. Bhd., handles data received from Google APIs when a business connects its Gmail account to our customer messaging platform.
  • Data we access. With your authorization, the App accesses your Gmail account to read incoming emails (sender, recipients, subject, body, attachments) and to send replies on your behalf. We also access your basic profile (name, email address) to identify the connected account.
  • How we use it. We use Google user data only to show your emails as conversations in your shared inbox and to send replies written by your team or by your AI agent. We do not use it for advertising, and we do not sell it.
  • AI processing. If you enable an AI agent on this inbox, email content is sent to our AI model provider(s) only to generate a reply to that conversation. We only use AI providers and service tiers that do not train their models on the data we send them, and we never transfer Google user data to a third-party service that uses it to train AI/ML models. We do not use, transfer, or sell Google user data, whether raw, aggregated, anonymized, or derived, to create, train, or improve foundational or generalized AI/ML models.
  • Sharing. We do not share Google user data with third parties, except for the service providers needed to run the App (cloud hosting, AI model provider), or where the law requires it. These providers process the data only on our instructions.
  • Storage and protection. Data is stored on our servers. It is encrypted in transit (TLS), and access is limited to authorized personnel.
  • Retention. Emails synced from Gmail are kept as conversation history for as long as your Gmail inbox stays connected and your account stays active.
  • Deletion. You can disconnect your Gmail inbox at any time in the App, or revoke access at https://myaccount.google.com/permissions. When you disconnect or close your account, we revoke the OAuth tokens immediately and delete the associated Google user data within 30 days. Backups are purged within 30 days. You can also ask us to delete your data by emailing [email protected]. We respond within 3 days.
  • Limited Use. The App’s use and transfer to any other app of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy and the Google Workspace API User Data and Developer Policy, including the Limited Use requirements.
